Portfolio & Operations · Playbook 12

Your practice. On a 6am schedule.

Most agents run AI one prompt at a time. Stack a handful of skills into a pipeline that runs while you sleep: it scans the market, screens the shortlist, tracks client portfolios, chases overdue payments, and lands a short briefing before you open your laptop.

Why this matters.

Most agents using AI tools are running them the way they ran a search bar before: one question at a time. The leverage is in the second move. Convert each repeated prompt into a skill with a clear brief. Convert the skills into a pipeline that runs on a schedule. Convert the pipeline into a single short briefing that lands in the same place every morning.
One prompt at a time is a search bar. Six skills on a schedule is a back office.

Six skills. One schedule.

01

Deal scout

Filters new listings against your buy box and writes a shortlist, without underwriting anything yet.

02

Investment analyst

Runs a one-page underwrite on every shortlisted item, anchored to real comparables.

03

Portfolio manager

Reads every client holding and flags milestones or actions due in the next two weeks.

04

Rent or payment recovery, ops, and the morning briefing

Drafts overdue-payment chases and maintenance requests, then compiles everything into a short briefing capped at fifteen bullets.

The morning briefing skill
Compile a single morning briefing of no more than 15 bullets: the three that matter most today, new opportunities worth a look, underwrites ready to read, portfolio actions due, and drafts awaiting send. Every bullet must point to a specific file or decision. No generalities.

What it still gets wrong.

i.

The shortlist is not the buy list

The scout filters on the criteria you wrote. Tighten your buy box regularly or the shortlist grows sloppy.

ii.

The memos are not the diligence

A one-page underwrite decides whether to spend real diligence budget, not the diligence itself.

iii.

The drafts are not the messages

Nothing should leave your practice without a human review step. Build that habit from day one.

iv.

The memory needs pruning

Stale entries make the pipeline slower and the briefings worse. Trim memory files monthly.
