Five tools. One property brain.

An AI chat on its own is a brain without a body. It can think and write, but it can't touch your accounting platform, your contracts, or your portal data. Connectors fix that, turning the tool into an operator of your book of business, not a chatbot about it.

Why this matters.

Most agents who try AI tools give up after a few weeks. The pattern is always the same: the tool gives a useful answer, then to act on it you still have to log into six different platforms. A connector standard lets the model talk to those platforms directly.

For an investor-facing practice, the right five connectors cover the recurring loop: accounting, documents, market data, property management, and your client pipeline. Once those are wired in, the tool stops being a thinking exercise and starts being an operating layer for the book of business you manage.
The AI is a brain without a body. Connectors are the arms and hands.

Native first, then the five.

01

Turn on the native connectors

Gmail or Workspace, Calendar, and Drive first. These are the foundation and most people never need anything more for email and calendar work.

02

Accounting

Xero, QuickBooks, or your local platform. This gives the tool your actual numbers instead of the numbers you hoped for.

03

E-signature

DocuSign or similar, so the tool can track what's outstanding and draft chase emails without you checking manually.

04

Portal and CRM data

Property portal data via a scraping connector, and your CRM so tenant, prospect, and client conversations live in one place the tool can reach.

The weekly pulse prompt
Run my weekly portfolio pulse. Pull rental or fee income vs expected, anything overdue in documents or signatures, upcoming lease or contract milestones, and any client or prospect I haven't followed up with in 5 days. Rank the output by impact, not category.

What it still gets wrong.

i.

Not every connector is native

Some platforms don't yet have official connectors. Routing through a general automation layer works but adds latency and another thing to debug.

ii.

Scraping is fragile

Portal sites change their structure without notice. A connector that worked last week can break silently.

iii.

Authorization is everything

A connector sees exactly what the login it uses can see. Audit permissions on every connected account before wiring it in.

iv.

Free tiers run out

A single weekly pulse touching several tools can burn through a free plan's monthly cap inside a fortnight. Budget for the paid tier.
